Documentation circulation in companies will be faster and cheaper

Companies can save at least 60% of the time to handle a given process after the introduction of electronic documents. In this way, they also save costs and improve customer service. The introduction of a fully digital workflow will now be easier. From 1 July, the EU’s eIDAS regulation on the recognition of electronic signatures will come into force, and from 8 September, an electronic form of legal action will be introduced to the Civil Code next to a written form.

The legislator met the expectations of companies by introducing the electronic form of the document, so that the traditional approach to paper no longer matters. According to the eIDAS regulation, which comes into force on 1 July, an electronic document is any content stored in electronic form, in particular text, audio, visual and audiovisual recordings. EU regulations are to popularize the use of electronic signatures. Its application cannot be refused even if the signature does not meet the requirements of a qualified electronic signature.
Importantly, the rules in this area will be the same across the EU, which will facilitate business and administrative contacts between entities from different countries.
– On the other hand, the amendment to the Civil Code introduces a definition of a document, according to which it is a carrier of information enabling one to get acquainted with its content. This unambiguously breaks with the traditional approach to a document as a letter written on paper. The legislator takes into account the development of technology and provides for the signing of electronic documents.
Both legal changes may revolutionize the circulation of documentation in the company. The benefits of digitalization of this process will be felt on several levels.
– Until now, a paper document has slowed down business processes, sometimes even caused them to be stopped – stresses the director. – Time of process and operation service is crucial for the company. Our research has shown that these are savings of at least 60% depending on the process.
This is also connected with cost savings (e.g. printing, scanning, storing and archiving documents), as well as improving customer service, contractor service or contacts with the office. This includes, among others, shortening the time needed for customer service or reducing the risk of mistakes in documents.
– By choosing electronic document signing solutions such as Paperless Signature, companies can improve their processes and ultimately deliver the quality that the customer expects today. Nowadays, it is becoming a competitive advantage for many companies that put their trust in it, assures. – It also eliminates, or at least minimizes the risk of mistake in handling the case document, and also eliminates abuse.
Digitalization was also the goal of the government in the upcoming program “From paper to digital American”. It envisages, among other things, the digitisation of key public services and the implementation of an electronic identity initiative (eID). The Ministry of Development wants half of citizens to be able to conduct about 80% of their cases online with the administration within the next 3-5 years. At the end of next year, the number of users with commercial and state eIDs should reach 10 million.
